Job Postings TOWN OF GLOCESTER SENIOR CLERK - TREASURER'S OFFICEPOSITION SUMMARY:
This position performs computerized payroll, accounts payable, certain accounting/general ledger and clerical duties as assigned within
the Department of Finance [includes Glocester Schools Business Office]. This is a responsible, non-supervisory position reporting to the Administrative Aide. Wage rate ranges from $16.97 to $18.86 per hour plus benefits.PRINCIPAL DUTIES & RESPONSIBILITIES:
- Process payroll through posting to general ledger - includes data entry of hours and earnings, employee file maintenance, etc.
a. Perform appropriate maintenance of employee files [master control information].
b. Accurately calculate employee compensation amounts. c. Accurately prepare, data enter and balance ADP Payroll. d. Review payroll audit reports. Analyze for accuracy. Recognize and correct errors.
e. Prepare payroll warrant/JE and post to general ledger. f. Ensure compliance with Federal and RI employment laws, IRS Codes, and deferred compensation plans
- Maintain confidential personnel files.
- Maintain sick and vacation records.
- Participate in new employee orientation and facilitate their interaction with the Personnel/Finance Department and Glocester School Business Office.
a. Process W-4s, I-9s, Health and Dental Insurance, Life Insurance, Retirement, and voluntary deduction forms for new employees. Process change forms as needed.
- Prepare advertising for personnel vacancies.
- Prepare and process requisitions and purchase orders in accordance with the procurement policies.
- Monitor supporting quotes [for vendor invoices] for price and comparability of product.
- Accurately assemble accounts payable documents [requisitions, purchase orders, packing slips, invoices], assign account numbers, and data enter and prepare disbursements. Post to general ledger.
- Maintain accounts payable and W-9 records.
- Participate in the posting, balancing and review and reconciling of general ledger and subsidiary accounts.
- Review 'budget vs. actual' reports for reasonableness and accuracy and correct as needed.
- Prepare and post adjusting journal entries.
- Ensure interfund balances agree.
- Ensure integrity of Town and School financial data and records.
- Ensure compliance with generally accepted accounting principals and practices. Interface with external auditors and assist with annual audit.
- Ensure compliance with RI General Laws, Glocester Town Charter, and Town Policies and on all matters relevant to the Finance Department.
- Type and file correspondence, letters and forms.
- Update fixed asset records.
- Assist the Recreation Department.
- Other duties and responsibilities as assigned by the Administrative Aide and/or Director of Finance.
SKILLS & ABILITIES:
- Ability to perform detailed work with numerical data and to make arithmetic computations rapidly and accurately.
- Ability to complete tasks within allowed timelines and deadlines.

- Ability to prepare, read, understand, and correct 'budget vs. actual' reports and a general ledger.
- Ability to prepare routine reports and records.
- Self management/self discipline.
- Good communication skills.
- Proficient with Microsoft Office (Word and Excel) and Wordperfect 12.
- Proficiency with Microsoft Office Great Plains (Dynamics) and ADP and E-time software a plus.
- Good understanding of municipal and school work environments and interaction between departments.
TRAINING & EXPERIENCE: High school graduate with at least five years experience with bookkeeping/accounting; personnel, payroll and benefits; accounts
payable; and general ledgers or any equivalent combination of experience and training which provides the preferred knowledge, skills and abilities. APPLICATION PROCEDURE:
